Organizational Description: Founded in 2005 by Harry Belafonte, the mission of The Gathering for Justice is to build a movement to end child incarceration while working to eliminate the racial inequities in the criminal justice system that enliven mass incarceration. The Gathering for Justice also oversees two state based task-forces: Justice League CA and Justice League NYC.
Since 2013, The Gathering has stepped up our work building justice initiatives and supporting movements on multiple fronts. We’ve led policy initiatives for police accountability, organized as a diverse ‘family coalition’ to build the agenda for sustained black and brown liberation, catalyzed the re-introduction of federal legislation to end racial profiling and stop the militarization of law enforcement, engaged a serious and sustained effort for Raise the Age in NY State, and created a blueprint for criminal justice redress and accountability for NY City and State.
This success, along with our work with the Women’s March, has led to huge impact. Now we’re ready to take our organization to the next level, and the Executive Assistant will be integral to supporting our President and CEO to lead the organization. The Executive Assistant will support the President and CEO in all aspects of her work by maintaining all aspects of day-to-day administration.
Job Summary: The Gathering for Justice seeks a motivated, flexible, solution-oriented candidate to join our team as Executive Assistant to the President and CEO. The Executive Assistant is responsible for the day-to-day administrative work of the President and senior leadership team. The position ensures the success of organizational leadership by performing a number of administrative tasks, including scheduling, managing travel logistics, and managing relationships with donors, vendors, and key organizational partners.
Maintain calendar and daily schedule of the President and CEO, and support other senior leadership scheduling as needed.
Support communication by managing all incoming and outgoing mail and email for the President and CEO, including reviewing, prioritizing, and summarizing all incoming email, and drafting correspondence to donors, partners, Board members, and others as needed.
Manage all travel arrangements and logistics for the President and CEO.
Coordinate and ensure preparation for all media engagement with the President and CEO.
Answer phones and emails, and direct messages to staff in a timely manner.
Prepare meeting arrangements for staff meetings, Board meetings, and all other meetings for the President and CEO.
Coordinate event logistics as needed.
Serve as project coordinator for internal and external projects as needed.
Collect and organize data to inform program development
Manage office technology, including for conference calls and video conferencing, and office supplies, including printing and other materials.
As part of a growing organization, contribute toward the development of standard operating procedures in all areas of influence, and continue to find new ways to improve quality and efficiency.
Other duties as needed to support the work of the senior leadership team
At least 2 years experience working in a fast-paced environment, with experience prioritizing multiple work streams and operating with a sense of urgency to perform tasks and executing deliverables.
Experience as an admin assistant or office manager preferred, including experience with event planning, project planning, and office management.
Top-notch organizational skills; flexible and strong work ethic and excellent attention to detail.
Proactive self-starter who enjoys working in a dynamic and changing environment.
Willingness to work irregular hours, including evenings and weekends, as needed.
Solution-orientation with a positive growth mindset and collaborative working style.
Working knowledge of Google Apps and Microsoft Office.
Experience in nonprofit and/or social justice setting is preferred.
Salary Range: Commensurate with experience
