Bookkeeper (PART-TIME; New York or DC preferred)

Organizational Description: Founded in 2005, the mission of The Gathering for Justice to build a movement to end child incarceration while working to eliminate the racial inequities that permeate the justice system. The Gathering for Justice is a beloved community, grounded in dignity, justice, and liberation. We believe intersectional organizing builds collective power and works in solidarity to develop intercultural, intergenerational leadership. Our work is rooted in a legacy of nonviolence, a strength-based approach to achieving justice. We embody a transformational framework for racial justice, gender justice, and equity. Our work in New York City is led by the Justice League NYC, our rapid response task force, and we are building a movement to end child incarceration in California led by the Justice League CA. 

The Opportunity

Since 2013, The Gathering has stepped up our work building justice initiatives and supporting movements on multiple fronts. We’ve led policy initiatives for police accountability, organized as a diverse ‘family coalition’ to build the agenda for sustained black and brown liberation, catalyzed the re-introduction of federal legislation to end racial profiling and stop the militarization of law enforcement, engaged a serious and sustained effort for Raise the Age in NY State, and created a blueprint for criminal justice redress and accountability for NY City and State.

We’ve expanded our work throughout the country, and built the foundation for long-term justice reform in California and beyond. This success has led to huge impact and opportunity. Now we’re ready to take our organization to the next level, and the Bookkeeper will be integral to supporting the financial sustainability of our work. A key member of the finance and administration team, the bookkeeper will ensure timely, consistent financial administration that will keep the foundation of our organization strong as we continue to grow.

Job Summary  

The Gathering for Justice seeks an experienced, detail-oriented Bookkeeper to post and process a range of accounting transactions. Reporting to the Chief Operating Officer, the Bookkeeper ensures smooth, efficient, and effective financial administration as our budget grows. 

Responsibilities:

Financial Administration

  • General bookkeeping, including accounts payable and receivable, reconciliation, and updating Quickbooks Online for all bank and credit card accounts

  • Determine and assign all project/class expenses and income 

  • Make all wires and other requested money outflows

  • Participate in annual audit, including gathering all required materials for accountants; support external, donor, or government audits, as needed

  • Liaise with fiscally sponsored projects to collect invoices, receipts, W9s, and all other relevant reports and documents, and accurately enter into Quickbooks Online, including setting up systems of accountability

  • Accurately maintain all records, including but not limited to invoices, receipts, W9s, contracts, and audits

  • Calculate and distribute Paypal donations

  • Track donations and prepare required donation letters for The Gathering and sponsored projects

  • Prepare required financial reports for grants

  • Prepare financial reports for accountants for 990s

  • Provide COO and Director of Finance and Administration with practical support, as needed

  • Other tasks as developed and assigned

Payroll and Human Resources 

  • Assist with human resources, including on-boarding new employees and securing benefits

  • Administer payroll and keep clear records

  • Manage workers compensation audits in NY, CA, and DC, and other states as necessary

  • Acquire W9s and issue all 1099s to independent contractors by January 31 of each year

  • Prepare forms 1096 and 1099 for the IRS by January 31 of each year

  • Other tasks as developed and assigned

Requirements

  • At least 5 years of non-profit (501c3) bookkeeping experience

  • At least 5 years of experience with QuickBooks Online

  • Detail oriented and extremely organized

  • Experience with fiscally sponsored projects

  • Experience with audits and interfacing with accountants 

  • Experience transitioning bookkeeping systems and developing systems for accountability

  • Experience with grant tracking and financial reporting

  • Experience administering payroll with ADP

  • Experience with building strategic financial systems

  • Enthusiasm, passion, patience, flexibility, and high-energy, including under pressure

  • Comfortable learning and developing new systems

  • Strong interpersonal skills with a high level of integrity and sound judgment and ability to communicate and work collaboratively across the organization openly and with respect

  • Experience with both c3 and c4 organizations is preferred

Salary Range: $2,500/month, plus bonus for audit periods
